Academic Visitor or Short Term Rotations

Instructions for Approval of Short Term Rotations

The GME Committee policy (click here for policy) on Educational Activities for Non-UAMS COM Residents (includes fellows) specifies that all elective or short term rotations for residents and fellows from accredited training programs at other institutions, must be made by the UAMS COM departmental chair or his/her designee to the UAMS COM Associate Dean for GME. All of the information listed below is necessary in order to determine eligibility of the resident/fellow to come to UAMS and must be received prior to the person beginning the rotation. Supplying all the information, sent to slot 837,  will expedite the approval.

From the visiting resident:
            a. his/her credentials:

1) for graduates of US or Canadian medical schools – final medical school transcript or a state medical license;

2) for graduates of non-US or non-Canadian medical schools – currently valid ECFMG certification or full and unrestricted license to practice in the US;

            b. Curriculum vitae

 

From the resident’s home institution:

c. The financial source of stipend and benefits (includes health insurance) while the resident is in the program at UAMS-COM

d. Proof of and source of payment for malpractice coverage while at UAMS-COM

 

From the UAMS Program Director:

            e. The parent institution and current ACGME or AOA accredited program of the resident;

f. The person who assumes responsibility for the resident/fellow while at UAMS-COM

            g. The anticipated dates of the short-term rotation;

            h. A description of the short term/elective rotation i.e. what will be the resident’s responsibilities?

i. A completed UAMS Campus Visiting Staff Member Appointment Form (UAMS Administrative Guide Policy 12.0.00) signed by the department chair. The GME Office will obtain signature of Dean and Vice Chancellor. 

The UAMS Campus Visiting Staff Member Appointment Form as specified in the UAMS policy on Academic Visitor Status (click for policy and form)  obtained from the Associate Dean for GME or Vice Chancellor for Academic Affairs, and signed by the department chair of the department providing the rotation.

If approved, the resident/fellow must register with the COM Housestaff Office, complete the HIPAA Summary & UAMS Confidentiality Policy and Agreement,  obtain appropriate ID badge ("Visiting Resident Physician") and complete training/registration for the clinical information systems.

During the short-term rotation, the resident is:
1. actively involved in the educational activities of the training program as a learner,
2. supervised by qualified program faculty members,
3. evaluated by the teaching faculty at the completion of the rotation,
4. not faculty-appointed
5. not able to bill for clinical service

Much of the above information from the UAMS Program Director can be included by means of a letter from the program director of the current residency/fellowship program to the program director at UAMS.  Mr. Kemal Kutait will review the information submitted about the malpractice coverage and may determine that additional coverage is necessary. The Associate Dean for GME will inform the department once approval is granted.
