To all SAP Requisitioners:

Effective, November 1st 2010, the use of one-time vendor numbers 4 & 5 will no longer be allowed for reimbursements.

As a result of the recent internal audit, an SAP vendor number must be assigned for each individual, employee & non-employee, when requesting reimbursements.

The following information must be submitted to SAPVendorSetup@uams.edu when requesting a vendor number.

 Name

Address

Last 4 digits of Social Security Number

Also, please make sure you include in the email that it is for a reimbursement.

The reimbursement SAP vendor numbers are 7 digits and will always begin with a 4.

The ERP department has increased the time available to execute a report as well as the time you can be inactive in the SAP system before being logged out. 

  • Previously, if you executed a report, the report would have 25 minutes to execute before you were logged out. Now you have 40 minutes to execute.

  • Previously, if you had an open SAP session inactive for 25 minutes, you were logged out. Now you have 1 hour before logout.

We were able to make these changes because of a recent update to a 64-bit processing system. We hope the increased times enhance your SAP experience.

Subject: Using ESS for Leave Requests


Recently, we rolled out a process for tracking salaried (non-classified) employees’ leave in the SAP Employee Self Service system (ESS).

To date we have successfully moved about 300 salaried employees from Kronos to ESS.  The ESS Leave system is easier to use and includes Anniversaries, Birthdays and Children’s Educational Activity Leave (CEAL). It is very simple to add employees to the ESS Leave Request system and even departments with hourly employees could still use the system for their salaried employees and continue to use Kronos for the hourly employees. Adding employees to the ESS Leave Request system would help us avoid adding additional Kronos licenses and help us to possibly reduce our future licenses.

All SAP/HR Users:
If you have not already done so, we recommend  that you run the report  ZHRVACLOSS – to produce a list of those in your department who will lose vacation at the end of the year if no vacation is taken from this date forward.  I’m sure your employees will appreciate the heads-up so that they can plan to take time-off over the remaining months of 2007. Remember that not more than 240 vacation hours may be carried over on 12-31-2007.

You also might encourage your employees to use the new Employee Self Service portal at https://enterprise.uams.edu/irj/portal to keep tabs on their own vacation and sick balance

HR On-Line Recruitment

Directors, Managers, Supervisors, and SAP/HR users:

 

The change from paper application process to On-Line Recruitment has been rumored for months… in fact, years!!   We are pleased to announce that this change will take effect at the end of January 2006  (baring substantial problems).

 

Training for hiring managers – department heads, business officers, supervisors, and whoever else now advertises, interviews, and hires staff – will begin next week and continue throughout January.  [Faculty hiring will remain unchanged].  The first training sessions are scheduled as follows:

Vacation Loss Report

Fall is the time to think about employees who might have too much accrued vacation at the end of the year.  UAMS Policy and state law require that all vacation balances be reduced to 30 days (240 hours) following the last pay periods in December.  See Administrative Guide Policy 4.6.04, Annual Leave:  http://uams.edu/AdminGuide/WIN04604.html

 

The report “ZHRVACLOSS - Report for Vacation Loss” will help timekeepers and business officers in identifying those employees in your department(s) who could loose vacation hours at the end of the year – it answers the question:  “If no vacation were taken, how much will my employee lose?”  Obviously, these employees need to know of this possibility so that they might schedule time off.
