Mailbox Limits!

What are the default mailbox limits?

100 MB Warning Level

110 MB Prohibit Send

120 MB Prohibit Send and Receive

This means that once your mailbox reaches or exceeds 100 MB you will receive a warning that you have exceeded the mailbox limitation.  When your mailbox reaches or exceeds 110 MB you will not be able to send any email.  When your mailbox reaches 120 MB you will not be able to send mail and any mail sent to you will bounce back to the sender.

How do I check the size of my Mailbox?

Open Outlook, right click on your mailbox and go to Data File Properties.

Click on the Folder Size button.

The Total Size figure is the total amount of space your mailbox is using on the Exchange server.

(Example: 44420 KB = 44.42 MB)

How do I arrange messages based on size in my Inbox?

Open your Inbox or any other folder that stores email messages.

Go to View > Size

How do I compare the size ranges of my messages?

 <10 KB

 Email (no attachment)


 10 25KB


 25 100 KB

Word document attached to email


 100 500KB

Graphic (picture, map) attached to email

Very Large

 500KB 1 MB


 1 5 MB

PowerPoint Presentation or database file attached to email
