Outlook 2010 Techniques for Mailbox Cleanup

Folder Cleanup 

 

Any message that you wish to keep may be archived in the online archvie folder. Size in the online archive does not count against your mailbox space and the messages in the online archive will never be deleted. This included the Conversation History folder which archives all conversations and attachments that happen in LYNC.

Delete messages from all folders that you no longer need by selecting them and clicking the Delete button on the toolbar or the Delete key on the keyboard. 

The Deleted Items folder must be emptied before you gain back free space within your disk quota.

Folder Options

    Automatically empty the Deleted Items folder

  • Click the File tab and select Options.

  • On the Advanced tab, under Other, select the Prompt for confirmation before permanently deleting items check box.

  • To be notified before the Deleted Items folder is emptied automatically, on the Advanced tab, under Other, select the Prompt for confirmaiton before permanently deleting items check box.

    Disable Conversation History in Outlook

    By default when Lync is installed, Lync integrates with Exchange/Outlook and creates a Conversation History folder to save all conversations including IMs, audio, video, and web conferences. Also by default, all conversation logs are set to save in this folder.



    If you do not wish for Lync conversation history to be stored then you can follow these instructions to disable this feature.
